Streamlining tasks more effectively: Are you working way too hard?

In our last blog, we looked at how easy it is to streamline your way to more fulfilling life. However, don’t make the mistake of spending so much time seemingly streamlining your life, when what you’re actually doing is wasting more time…

The secret to streamlining tasks can be easier than you think.

Here’s how:

  1. Step by Step. Those jobs you hate and that you regard as chores are likely the ones that suck the time (and joy) out of your day.  Instead of procrastinating and leaving them to another day, break each of these tasks down into individual elements.  Then consider, is there an easier way of accomplishing the end result? (HINT: Just because something has ALWAYS been done like that, doesn’t mean it has to be like that in the future.) Are there any elements of the tasks that you could outsource? For example, take bookkeeping. So many people loathe this, myself included. My bookkeeper does a “first pass” for me, then I need to review and fine tune it. This process actually gets the bookkeeping done! Prioritize the various elements of any task – what really needs to be done now and what tasks could you combine to make an improved workflow?
  2. Understand the power of the template – repetitive, mundane tasks are ideal candidates for the template treatment! Those routine emails you send at work can be cut down to a millisecond if you create a template of your most commonly sent ones.  Create templates of standard work procedures.  This way, the work process can be followed by anyone, allowing you to potentially delegate work and also providing contingency should you be off work for any reason. Take some time to look at your projects or tasks and identify those that you perform over and over.  Are there any common steps for which you could create a template?  Once you start looking, you’ll be surprised where you see commonality!
  3. Everyday life made simple
  • Eating. Streamlining doesn’t have to mean boring. It certainly does not mean conforming to a “Monday is fish, Tuesday is pasta” rigidity.  Instead, plan your meals for the coming week and shop for the ingredients in one trip.  Not only will this result in your grocery bill becoming leaner, you’ll also avoid food waste, eat more healthily avoiding last-minute takeout and save time and money on multiple grocery store runs.  Prepare your meals in advance and freeze them down.  Not only can you create a delectable freezer full of menu choices, you’ll also save a heap of time in daily cooking and after-prep. cleaning.
  • Travelling. We all know the frustration of arriving on vacation, only to find, in our haste, we left an essential item at home.  Mistakes like this can be costly.  Instead, create packing lists; one for a weekend getaway, one for a business trip and one for a family vacation. Pack clothes items that can be worn a multitude of different ways and that are made of non-crease material. Ensure you are travel-ready the night before and that you have a clear idea of the route to your destination.  Done beforehand, this adds to the general travel excitement.  Done last-minute, this is the cause of so much friction!  If you’re flying, save yourself some time at the airport and instead, check in online.
  • Household Errands. Invest in a planner, instead of relying on envelope backs and sticky notes. This way, you can see common areas between errands – for example errands needed to run in the same part of town – and group them together. Schedule time slots for your personal to-dos – that way, you may be able to cross several off at once – now wouldn’t that feel good?

Taking time to streamline your processes might seem counter-intuitive at first.  After all, it’s going to take time to get the processes in place, right? But instead of counting this time as taking you away from more enjoyable aspects, consider it as an investment in that future workflow. Imagine the feeling of being super-organized and actually enjoying time out, time when you would normally be tied up with routine chores, now wouldn’t that feel good?

Why Task Management is not bad for you

Imagine a day where every single aspect is planned. Every task mapped out to the second.  Every moment maxed out, and spontaneity? Well, that’s just a dirty word!

Of course, a life like this would be no life at all.  Isn’t it the off-the-cuff, reactionary moments that make life so pleasurable?

But, how about a life where there was more time for spontaneity, for enjoyable and unplanned activities? The key to these is in making space for them and the solution to that lies in streamlining those areas of your life that are repetitive; the chores, the “also ran” tasks that we all have to undertake (but loathe nonetheless).

Streamlining can mean different things to different people.  Take the office worker, who sends countless routine emails every day.  The content doesn’t change, but the practice of retyping each takes valuable minutes of the day. Or the executive with meetings across town, constantly running backwards and forwards between appointments. With simple streamlining of tasks, templates created, perhaps commute times used productively, these two can free up a significant amount of time, and more importantly free themselves from the feeling of overwhelm which accompanies the sentiment of “too much to do, too little time”.

That’s easy to say, but exactly how difficult in reality is this to achieve?

Are you addicted to your busy?  So what? Sometimes it’s great to be busy.  That feeling of ticking off the final task on a long checklist.  That feeling of achievement.  But what if you’re addicted to the adrenalin-rush that comes from rushing from one task to the next, never taking a breath to review what you’ve achieved, because you’re so busy looking at what still needs to be done?  Constantly working to deadline after deadline? Sound familiar?  Well, a little bit of excitement never hurt anyone, but this hectic pattern doesn’t leave any time or space for spontaneity and the excitement that that can bring. If you wear your busy-ness as a badge of honor, it’s time to stop. Instead, realize that you count just as much during rest and relaxed times as you do during frantic ones.  It’s not about your to-do list! Sometimes we adopt diversion tactics, using our busyness as a foil for real issues in our life.  Unfortunately, they’re just a diversion and the harsh reality is that those darn problems will still be there when the busy, busy, busy stops. Instead, focus on relaxation techniques and exercises that will provide some respite for your mind, body and soul.  You may even find that you have time in these moments to address those problems and find a solution to them.

Free up more time for the stuff you love.  We all have ideas of our own “dream life”.  The way we think life should be.  But by streamlining the routine tasks, you get to enjoy the fruits of your labor. Ensure you reward yourself for your hard work by pencilling in some ‘me-time’. That way, you’ll be encouraged to streamline more. Your rest, recharge and relax time allows your brain to reset and be ready for the next period of activity.

Have you ever forgotten to follow through? With so much going on, it can be so easy to drop any of the balls we are constantly juggling. This just leads to feelings of anxiety and, ultimately of failure. Of course, the whole “work smarter, not harder” concept has to be underpinned by efficient notes and systems.  To aid this, why not make use of the plentiful online apps and management programs available?  Failing that, employ good old pencil and paper or a calendar and get to work organizing to create a harmonious life.

It’s true that life definitely isn’t like the movies.  We all have those boring tasks and we all have to grit our teeth and just buckle down to getting them done.  But, the fly-by-the-seat-of-your-pants moments are the ones that generally make us the memories.  The unexpected times, the exciting moments that really make our life, so why would you not want to make more of those?  Life can be exciting…if you also do a little bit of planning, too.

This is the first thing to do when you feel invisible.

In the last blog, we discussed 5 ways you may be self sabotaging yourself and how to “get out there” and what happens when you don’t. Maybe you are still feeling invisible, and not sure how to be noticed, and afraid of what might happen if you are noticed.

Go ahead. Be the person you are afraid to be. That’s the first thing to do.

Ready?

Becoming our true selves creates mutual respect, admiration and honesty within our lives. And this leads us to reach our goals. How?

 There is a certain amount of fear and hiding in us all. And, when we live life “full out” and stop hiding, we begin growing. And then we risk failing. And failing is essential to growth.

So how can you become the person you are afraid to be? Developing confidence and believing in yourself, your power and your ability to get achieve your ambitions. Your goals!

Remember, building confidence is not an easy and straightforward journey. But taking action is the first step to start building your confidence. You may fail at first, that’s ok. You are probably in very good company. Get on your feet and use what you have learnt to try again until you consistently get the results you would like to see.

Give yourself some love. Most of us are impatient by nature. We want changes to happen now. However, hardly anything in life happens out of the blue. Change takes time so start with small steps but keep a long-term perspective.

Learn to handle people undermining your confidence and don’t let them get through you. One of the best technique is co-opt their criticism. Somebody is trying to put you down? Try this: “You know what, you might be right. I have no idea if this is going to work. But I figure I have to give it a shot, right? If you were me, what would you do?”

Stretch yourself and branch out. Your opinion about yourself and what you can achieve has probably been moulded by your upbringing – your parents, your teachers, your friends. Start seeing things from a different perspective. Working towards greatness is a process and you need to learn how to live your life with intention. Rephrase “I wish, I hope, someday I will” with action statements: “Today, I am, my calendar includes, my deadline is”.

Lastly, put yourself in the right environment. Are the people around you pushing you forward or holding you back? Try to create your own growth environment.  Surround yourself with motivating,

Expect “setbacks.” Learn from your “mistakes” and keep trying. Find your focus. Be deliberate in making your daily decisions. And if you’re stuck, reposition yourself quickly. Sometimes teetering at the edge of a cliff is a good place to be. It means you’re growing and that puts you WAY ahead of the bulk of this population.

5 ways this is hurting you, and what you can do about it.

You don’t need to be a celebrity to have a fear of being visible. I work with many entrepreneurs. Oddly enough, so many of them fear “getting out there.” Life challenges us and asks us to step up on a daily basis. As an entrepreneur, when we hide, our profits die. So, what’s the hiding about? And how can we jump over this hurdle, into the land of profits and true happiness?

We constantly feel this pressure of being something else, somebody else, be always perfect. We are afraid of our true self, we fear that if we try to show ourselves someone will degrade us and we’ll be ashamed, exposed. Wow.

Do any of these 5 self-sabotaging moves look familiar?

1. Jealousy

  • Issue: Maybe a colleague received yet another promotion, or our younger boss just bought a gorgeous sporty car. Jealousy comes from our deep-rooted fears and insecurities which appear when we feel like we are not enough or we don’t have enough to be happy.
  • Solution: Comparing ourselves to others is rarely a win. What special gifts do YOU bring to the table? Honor those.

2. Faking It

  • Issue: “Fake it until you make it” sounds better than it actually is. Faking doesn’t do anyone any favors. We all tell little lies to ourselves and others in order to cope with our fears of being degraded or even ridiculed for who we really are. Beware – hiding our true self starves our potential!
  • Solution:  Live As If. When you swap your mindset for a new one, then act as if, you’re moving forward authentically. For example, say you want to be a speaker. You don’t have speaking experience. You are scared to be in front of people. What would a great speaker in training then do? Maybe he would join Toastmasters. Voila! Do this and you are Living As If. One small step.

3. Our Inner Bullies

  • Issue: We all know well that little creature living inside our heads. He (or she) is bossing us around—telling us what to do, how to think and act—even what to feel. Our inner bullies can be bigger and more powerful than our true inner selves, so we need to learn to tune out and stop listening.
  • Solution: Take it one step further. Don’t only “tune out” the bully; counteract him. Who might be the superhero to that Negative Nancy voice? How about Positive Peter? What might Positive Peter have to say? When we consider that these Inner Bullies are NOT us, and that we can separate ourselves from them, we gain back control over our own lives.

4. Caring About What Other People Think

  • Issue:  It can be difficult not to care about what others think of us. However, sometimes we let their opinions dictate how we are supposed to be. No more please! It is useful to seek advice and ask for opinions, but deep down, we need to follow our own inner compass.
  • Solution:  Repeat after me: What other people think of me is NONE OF MY BUSINESS. Right? Caring about what other people think of you is self-centered. And being self-centered is not a good feature. Be of service to others and soon this Fear of What Others Think will melt away.

5. Self-Destructive Habits

  • Issue:  We are sabotaging our true self with self-destructive habits every day. Think about the many times you doubt about yourself, of what you are capable of or worth. Or the times you pleased others and put everyone’s needs before your own. This is another no – no! Recognizing your own self-destructive behaviors is the first step to stopping them and the key to elevating your success in both business and your personal life.
  • Solution:  Doubting, considering yourself unworthy, and putting yourself last are all symptoms of lack. It’s the lack of self love. Self love is critical. It’s interesting how people who don’t love themselves are often self-centered (they are trying to seek others’ approval). When you truly love yourself, it does not matter what others think. You give of the overflow and act in service. What can you do to love yourself? Do what lights you up. This could be going for a walk every day, reading a book, meditating, seeing a movie with a friend. Treat yourself exquisitely so you can be your best self for everyone else.

Summary:

There are many things we do every day which prevent us from living authentically and becoming our truest selves. When we are aware of the harmful things we do to sabotage our own personal growth, we can begin to address them, one by one, and replace these soul sucking thoughts and habits with new, empowering ones.

When we move closer to our true selves, we find that sense of fulfilment we seek. Becoming our true selves creates mutual respect, admiration and honesty within our lives. And this leads us to reach our goals. So Tell Me What You Want

“Tell me what you want, what you really, really want”

OK; we all know that song. Right? The Spice Girls sing it!

How many times have you been asked your opinion and you answer, “I don’t know”? How does this feel? I’ll bet you may feel a bit lost when answering this way. It feels unsteady; uncertain. Most of us do not like living in the land of ambivalence.

In contrast, when we know what we want, and are able to articulate it, we feel more strong and powerful. It feels satisfying. Even if we are not GETTING what we want in the moment, it feels good to at least know what we want. Because to some degree, simply knowing puts on the path to achieving that desire.

In the last article, we went through 5 steps to getting what you want. This time, I would like to take you through an exercise that Michael Losier uses in his book, Law of Attraction. This was really helpful to me when I was first becoming an entrepreneur in 2009. It’s called “Clarity through Contrast.” When you are really clear about what you do NOT want, this is a very helpful exercise.

Step One

  1. Get out a sheet of paper and draw a vertical line down the center.
  2. List the things you don’t like on the left side of the paper (this should be easy!)
  3. List the things you would like instead (contrasting, line by line, from the left side) onto the right-hand side of the paper.
  4. Create a statement like “I am moving towards/working on/becoming” so the desire does not feel like a falsehood, even though it has not yet manifested, and it is placed in a positive light.

Step Two

Allow it – really make it believable by pointing out to yourself how many people already have it. Remember, you get what you expect.

Step Three

Notice it happening.  Celebrate and be grateful for all the goodness in your life each day.  Notice.  Do this daily.

And…

That’s it! Yes, it is simple. Yet, it is very powerful. Start today and do this each day for 10 days. Then, see what results you find!

How to get what you really want. Really.

“You can’t always get, what you want…You can’t always get, what you want…but if you try sometimes…you get what you need….”

OK; we all know that song. Right? “You Can’t Always Get What You Want” is a song by the Rolling Stones on their 1969 album Let It Bleed.

Is it true? Yes and no.

While it’s true that the Universe will provide us what we need, a nudge in the right direction never hurts. Enter “all that goal-setting.” Yet, so many people don’t bother with goals. While many reasons can be offered as to why, it often boils down to one phrase.

We don’t get what we want. We get what we expect.
(no wonder we drop goals!)

Sit with that for a minute. What’s your current dilemma?

Example: Are you an entrepreneur who has way too much to do, is very busy, hates “all things marketing” and simply wants to get on with her work? You say you want to make a good living. But do you truly expect it?

Follow the steps below to finally realize why you continue to try and try, with some success, yet, often feel frustrated and broke. (and yes, there is a way out!)

Maybe you have set goals before. Maybe they have worked. Maybe not. Never mind, today is a new day. You have permission to release whatever has not worked in the past. It’s a new sheet of paper. When you come to this with a fresh outlook, also known as “beginner’s mind,” the possibilities sprout and become more real.

START HERE: ANSWER THESE QUESTIONS. SPEND SOME TIME ON THEM.

  1. What in your life (business, family, relationships, health) do you want to MASTER?
  2. With the answer to number one, ask, so what? One of the strongest motivators is dissatisfaction. Tension drives action.
  3. When you achieve your mastery (the goal you set in #1), how will your life change for the better? What lies beneath? That’s right, go deep. The deeper, the better.
  4. Commit to achieving your goal. No matter what. Believe, that even though you actually have no clue how it will be done, that it will be. You are meant to do this.
  5. Practice. Repeat. Repeat. Practice. Repeat. Repeat. Learn. Repeat. Repeat. (Do you know the 10,000 hour rule? You can master anything by working for 10 years and/or practicing it for 10,000 hours).

Now, I told you I’d mention why you may be feeling frustrated even though you have tried goals before.

We can say we want to lose 10 lbs. But do we expect to do this? We can say we would like to find the perfect partner. Yet we say there are no decent (men/women) out there. We throw excuses (some of them quite believable) in front of us. We sabotage ourselves, and complicate ourselves, and in the process feel pretty sorry for ourselves. And congratulations, we are now “normal.” Since the bulk of the population lives this way, we find comfort in this constant state of discomfort. What are they saying? They are saying,

“I want to change my life but I don’t really believe I can”

Is there a new way to go? Sure. HERE IS YOUR NEW MANTRA.

Expect great things.  Act as if.

Then, expect your life experiences to match your expectations (which are now Great Things).
